Special Events Coordinator
The Coordinator's responsibilities include responding to a high volume of phone and e-mail inquiries in a courteous and timely manner
Scheduling and conducting walkthroughs of Museum spaces for clients and vendors
Creating and maintaining detailed event files and logs
Clearing available dates for rental events on the Museum's calendar
Generating and distributing proposals and contracts and collecting certificates of insurance
Invoicing clients and collecting payments
Tracking, reporting, and reconciling rental income
Interfacing with various internal and external parties, including the Museum's exclusive on-site caterer, lighting, and parking vendor, and security, operations, conservation, and planning departments
Drafting and distributing schedules and logistics; and effectively communicating the Museum's procedures and rental policies to clients and external vendors.
B.A. or B.S. degree with 2+ years experience in event planning or related field; prior experience in a museum or arts institution a plus. Proficient in Microsoft Excel, Word, and PowerPoint.
Experience with databases, particularly Raiser's Edge, preferred.
Candidate must demonstrate superior organizational skills and the ability to multitask, prioritize, and learn quickly.
He/she must be highly detail-oriented, deadline-driven, and able to problem solve under pressure in a fast-paced environment.
Successful candidates will possess an outgoing personality, strong customer service skills, and a desire to market the institution to clients over the phone and in person with enthusiasm.
He/she must be able to manage projects independently and build strong collaborative relationships with various internal and external parties (e.g. vendors and other Museum departments).
Strong interpersonal, written, and verbal communication skills required.
