Coordinator for Non-Classical Concerts and Rental Events The Minnesota Orchestra The Minnesota Orchestra is one of Americas finest and longest-established orchestras, now led by its 10th Music Director, Osmo Vanska. We own and operate our own Hall (capacity 2,460) where the Orchestra and management are headquartered. In this position, you will work with the Director of Pops and Special Projects to ensure that non-classical concerts, Composer Institute and rental events run smoothly by handling the details required to plan and produce these concerts and events. The planning dimension of this job is to advance all non-classical concerts - this includes serving as guest artist liaison, making hotel and travel arrangements and planning and handling all hospitality details. When needed, coordinates all aspects of rental events with rental clients and internal de-partments such as front-of-house, stage crew and ticketing. Facilitates rental contracts and advance rental events, when needed. MAJOR JOB FUNCTIONS - Coordinate Non-Classical Concerts and Rental Events - Manage the input and upkeep of OMS (Orchestra Management System) for all non-classical concerts and rental events. - Serve as liaison to guest artists, travel agents, and managers. - Coordinate schedule including rehearsals, concerts, meetings, interviews and post-concert activities. This is done in coordination with the Audience Experience Manager. - Works closely with Pops Director in the planning, organizing and running of Composer Institute, a one week Institute held for emerging composers, that showcases the composers works in a final concert with Osmo Vanska conducting. - Coordinate and hire Peavey Plaza acts for Sommerfest. - Determine and arrange all guest artist travel and lodging arrangements. - Determine and communicate production needs to stage crew. - Make arrangements for the rental and/or purchase of all backline and production equipment as well as coordinating the hiring of extra musicians through Orchestra Personnel. - Coordinate production and hospitality logistics for non-classical concerts and rental events. - Coordinate guest artist comp tickets with appropriate box office staff members. - Maintain contracts, production schedules and guest artist schedules. - Create dressing room assignments and signage. - Determine and coordinate all keyboard needs, including rental, moving and tuning. - In charge of scheduling and coordination of all Production Assistants for both classical, non classical concerts and rentals- including tracking their hours for payroll - In charge of Production Assistants annual performance reviews - Works in conjunction with Audience services to book lobby artists for non classical concerts - Works closely with Event Manager for Symphony Ball in hiring artists for the ball and coordinating logistics Duty Manager - Serve as Duty Manager and artist liaison at concerts and rental events - This entails follow-through for all hotel, hospitality, production and transportation needs during the time the artist is in Minneapolis. Administrative Duties - Track expenses and bills. Prepare check requests for concert and event expenses. - Coordinates artist contracts including editing and facilitating changes to contracts and riders. Additionally, responsible for coordinating these contracts in house with all MOA staff. REQUIREMENTS - Degree in business, music, arts administration or related field. - Experience in an arts organization, events management or the entertainment industry. - Ability to work with many personalities and keep an even tone while doing so. - Background in music is helpful. - Strong organizational skills, attention to detail, follow-through and ability to handle multiple tasks and priorities. b
