BASIC FUNCTION: Hire, train and supervise all Admissions Representatives, Admissions Coordinators and receptionist(s) in areas required by the Admissions Department. Supervise the volume of outbound calls to prospective students. Analyze Admissions Reports to effectively manage Admissions performance. JOB SPECIFICATIONS: High school diploma or equivalent is required. Some college is preferred. Two years of inside or outside sales and/or recruitment experience is required. Good organizational, interpersonal, communication, and presentation skills are also required. Attention to detail and mental concentration are necessary for accurately performing tasks, working under highly stressful situations, and handling frequent interruptions. Basic computer skills are required. Service industry and previous heavy call volume experience preferred. Strong interviewing skills are a plus. SUPERVISORY DIMENSIONS: Manage all aspects of the Admissions Department NUMBER OF EMPLOYEES SUPERVISED: Direct: Indirect: 2 EXTERNAL CONTACTS: Daily phone and personal contact with prospective students regarding the admissions process and occasional phone contact with competitors concerning referrals. INTERNAL CONTACTS: Frequent telephone and personal contact with Admissions, Registration, Financial Aid, Student Services, and Career Services departments regarding daily activities. DECISION MAKING RESPONSIBILITIES: Makes decisions on Admissions Personnel, lead distribution, training needs and establishing consequences for underperforming Admissions Staff. CONSEQUENCES OF ERRORS: Errors result in low enrollment numbers. Failure to maintain sales-related activity on a consistent basis negatively impacts performance of Admissions department. EXPOSURE TO CONFIDENTIAL INFORMATION: Exposure to personal information including names, addresses, phone numbers, birthdays, and social security numbers.
KEY ACTIVITIES: 80% 1. Manage the Sales Floor a. Be familiar with how many scheduled appointments Reps have b. Be familiar with enrollments scheduled daily c. Be familiar with Entrance tests scheduled daily (How many need Tutoring) d. Be familiar with FA appointments scheduled daily e. Distribute and Re-circulate leads based on Rep Conversions f. Conduct 2nd Interviews and 2nd closes daily g. Conduct Rep Check-ins (Recap activity & Individual goals) h. Conduct Rep Check-outs (Discuss activity for that day and next day) i. Establish work schedules for MOA, ADOA, Reps, ACs & receptionist(s) j. Establish weekly run rates for reps to ensure budgets are exceeded k. Monitor Admissions Managers are updating the Activity Boards 2. Hiring Admissions Personnel a. Review resumes for all Admissions positions weekly b. Conduct Rep interviews weekly –Always be Interviewing c. Recruit Admissions personnel 3. Training Admissions Personnel a. Observe GBS Interviews (1-2 Weekly) b. Observe Telephone presentations (1-2 Weekly) c. Provide periodic product knowledge for Admissions Reps d. Utilize 10-day Training Plan for every New Rep Hire 10% 4. Meetings a. Conduct Daily Stand-Up Meetings b. Conduct Weekly Training meetings to include any Housekeeping issues c. Conduct weekly Accountability meetings d. Attend weekly Executive Meeting 10% 5. Data Analysis a. Generate Weekly Regional Forecast Report (Due 11:00am on Monday) b. Review Rep Conversion Graph report c. Review Rep Conversion by Source report d. Ensure that EOW and Summary Workbooks are generated accurately 6. Evaluations a. Conduct Rep evaluations monthly (Due to RDOA by 1st of every month) b. Provide action plans when necessary c. Provide Performance Improvement Plans when necessary d. Provide specific dates for training areas
