- Manage Cold Chain distribution projects including thermal packaging design, development, and implementation. Act as Project Manager and technical expert in cross-functional Cold Chain Operational Excellence team. Remain on forefront of emerging cold chain distribution industry practices.
- This function coordinates and makes daily decisions which effect the operations for all International customer shipments for Bayer Berkeley and monitors the spending of the division for services provided by Transportation providers. The incumbent is responsible for working with Product Supply, Customer Service, Marketing, Finance, Quality Assurance, and Auditing to ensure planned and predictable distribution services are provided to internal and external customers of BHC. This function is critical to the overall results of customer satisfaction, inventory integrity, and supply chain management.
- Ensure the safe, secure, and cost efficient movement of Biological products within the BHC Global Supply Chain. Demonstrated Cold Chain and International Transportation industry knowledge will be required.
- Conduct vulnerability analysis for goods in transit, taking into account such factors as risk, impact, and criticality.
- Responsible for assuring that opportunities for operational process improvements, supply chain cost reductions, and customer service enhancements are identified, evaluated, quantified, presented to upper management, and implemented as applicable.
Major Tasks of Position:
1. Project Management
- Develop and execute project plans and manage appropriately to meet changing needs and requirements
- Manage day to day aspects of projects and ensure timely completion of deliverables.
- Define project scope, goals and deliverables that support business goals in collaboration with senior management and stakeholders.
- Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion. Provide valuable information related to the project status in a timely and effective manner
2. Cold Chain Management
- Lead the development, approval, and execution of cold chain shipping solutions to support world wide shipping and distribution of Biotech products through collaboration with QA, Compliance, and Validation personnel.
- Serve as technical expert for all aspects of cold chain packaging and shipping.
- Assess temperature protection requirements for BHC Biologics products and work cross-functionally to implement solutions. This would include managing the relationship with Cold Chain suppliers and inventory of materials at the distribution centers.
- Provide support for shipping validation activities. Drive Cold Chain Operational Excellence initiatives and lead implementation of enhanced processes and solutions.
-Assist in the resolution of in transit temperature discrepancies.
3. Transportation Management
- Responsible for the selection of global freight carriers supporting global distribution of BHC Biotech products
- Proactively address shipping problems, negotiate freight rates and routing. Conduct quarterly business reviews with key transportation and logistics service providers. Manage relationship / agreements with commercial carriers as necessary. Develop and maintain partnerships with 3rd party service providers from a transportation perspective.
- Build and manage effective relationships across the supply chain with 3rd party Logistics / Transportation service providers in order to enable the flexibility to support the ongoing needs of the business and marketplace. By doing so the challenges presented can be communicated throughout the supply chain and solutions implemented which will positively affect the overall logistics operating costs.
- Represent Bayer Biologics as a key member on the BHC Transportation Council.
- Manage the safe, secure, efficient and cost effective transportation of BHC Biological materials to meet internal and external customer service levels. Sources transportation and expedites shipments as necessary to meet the business needs of the company. Determine appropriate modal requirements based on shipment size, weight, temperature requirement, and destination.
- Interface with International Customer Service to align warehousing / distribution and transportation capabilities to support customer expectations and ongoing needs to evaluate new / changing requirements (i.e. delivery schedules, industry changes in supply chain regulations / documentation requirements)
4. KPIs and metrics
- Develop and maintain key performance indicators and service level metrics for all exporting activities and manage carrier scorecards.
- Develop and manage international transportation budget and cold chain distribution budget. - Monitor warehouse spending and provide monthly reporting to management. Reviews / approves invoices.
5. Transportation Compliance
- Responsible for developing and implementing carrier SOPs that address product safety, security, and thermal integrity. The candidate will work cross-functionally to determine the impacted parties and lead teams that develop and review these programs and processes.
- Responsible for ensuring that International Transportation operations are in compliance with applicable GMP, FDA, SOX, Customs, and Corporate / Local / Federal guidelines
6. Continuous Improvement and Operational Excellence
- Collect, assemble, analyze freight cost data and make recommendations regarding air, parcel, ocean, and road freight options.
- Create reports and analyze transportation data obtained from various sources to improve performance. Review performance with other managers to determine appropriate action.
- Develop, maintain, and improve Transportation processes across multiple functions and / or business units.
- Provide leadership, experience, and knowledge to diverse team consisting of middle and senior management. Technical expertise and management in implementing projects supporting customer initiatives in areas such as Cold Chain Distribution, RFID, anti-counterfeiting, CTPAT (Customs Import/Export border control), contingency and disaster planning.
Work Interactions:
- Interact with internal sources such as Regulatory, QA, Validation, Warehouse / Distribution, BHC Transportation Council, and Global Supply Chain.
- Interact with external sources such as freight forwarders, packaging vendors, global customers, and customs offices worldwide.
- Key contact for International Bayer affiliates regarding goods in transit and cold chain distribution.
- Develop and maintain a collaborative relationship with Bayer's commercial carrier group. These mutually beneficial relationships permit the carriers to bring Bayer opportunities for service level and cost improvement while maintaining profitability. The position will manage the carrier score-carding process and coordinate efforts across BHC divisions.
- The external contacts developed and maintained by this position are vital and critical to the smooth operations of the International Customer Service organization. The position may deal and negotiate with senior management within a vendor or customer's operation.
Major Opportunities:
- The position reports to the Manager, Global Customer Service and Logistics and works with little supervision, having the freedom to act within division and corporate guidelines in order to achieve objectives. Due to the sensitive nature of Biological products, the incumbent must act quickly and decisively to assess urgent situations concerning customer requests, and act accordingly to provide immediate attention, correction, and execution of solution. Must continually stay abreast of export/import and trade regulations to insure compliant movement of product worldwide. Works closely with cross functional team to insure product is shipped as available, through the allocation plan, and guarantee continuity of supply.
- This position will be responsible to coordinate efforts between multiple BHC international affiliates, as well as 3rd party distributors. This requires superior relationship management as you are often times dealing with other functions and/or business units.
- Provide leadership in project and change management while leading continuous improvement efforts that impact Logistics / Transportation Operations.
Major Decisions:
- This position will review and determine the correct documentation and arrange transportation for all shipments made by export department. You will be responsible for identifying and resolving product protection issues which may include regulatory requirements, product integrity requirements, and security requirements. These issues must be resolved resourcefully without alienating the parties involved. This position will work to identify and implement new technologies and services to respond to the needs of internal and external customers.
- In a dynamic environment, Customer Service is the final leg in the supply chain effort to provide goods and services to the market and patient community. Due to the nature of the business, and the structure of the international organization, International Customer Service often engages in communication directly with customers and patients. The volatility of supply often creates difficult situations in which the incumbent must relay less than desirable news concerning product delivery status. Communication tone and mature judgment is required to ensure a high level of customer satisfaction, or at a minimum, a consensus of understanding. - Bachelors degree with 4-5 years of related experience or 8-10 years related experience in a regulated export customer operations environment. Experience in markets such as the Middle East, Africa, Eastern Europe, South America, and Asia a must.
- Expertise in US and International customs law and regulations with proven experience in compliant export shipping documentation generation
- Experience with Change Management in a GMP environment
- Strong written and verbal communications skills are required, with a high level of professionalism in dealing with the scope of a global customer base.
- Ability to proactively and independently develop and implement solutions for International Transportation and Cold Chain Distribution. Must be flexible, innovative, persistent and committed to the successful completion of their assignments.
- Proficiency in negotiations and technical problem solving is required to interact with various departments, divisions, and vendors to resolve issues and achieve goals. Sensitivity to people is required, as there are extensive dealings with people of varying cultural and socio-economic backgrounds.
- Position requires strong customer service, problem solving, decision making and communication skills. Influencing techniques and process innovation skills with the ability to develop relationships and manage data is required.
