Responsibilities: Provide high level executive administrative support to one of the doctors at the Pediatrics Research Branch (PRB), Detroit, MI. Actively interacts with internal/external customers (some are at high executive levels) as required to handle requests, inquiries, and complaints and to provide assistance. This will require discretion, judgment, tact, and diplomacy. Assignments involve work of a confidential or complex nature. Provide executive administrative support to other PRB management, staff, visiting consultants and guests. Perform electronic word processing, data entry, and calendar maintenance to include: Outlook, Power point, Excel, email and calendars, and word processing software in providing administrative support to PRB management and staff. Type minutes, manuscripts, reports, and enters orders into the appropriate computer program. Collects and assimilates report data, proofreads and corrects, submits for final review and distributes approved reports. Maintains calendar for management staff, sets up appointments, prepares and distributes rosters. Types requisitions and obtains quotes based upon information provided by requestor. -Responsible for all aspects of Personnel Packages, including creating packages for new personnel, maintaining renewals, and terminations as well as meeting with new laboratory staff to ensure their welcome packages are complete and that the individuals are informed of and in compliance with all policies and procedures. --Function as point of contact between Research Laboratory and Administrative Management Branch. - -Word processing/typing of correspondence and manuscripts for PI(s). --Perform data entry to include: Creating, updating, and maintaining spreadsheets and other databases utilizingMSWord, Excel, and other programs specific to the support of the client’s operation which may include FAESinsurance, FPS, NED System, ACH Banking, and OMS physicals. --Administrative responsibilities including surplus property management in NBS system. --Create and/or review travel authorizations and travel vouchers for Domestic, Foreign, and Sponsored travel in the NBS Travel System. --Prepare Clearance forms. --Assist with office communications: receives and answer e-mail and telephone calls–takes complete messages. Based upon urgency of message either takes message or refers communications / caller to appropriate contact. Arranges conference calls as needed. --General Clerical support including Filing, Sorting and distributing mail, Receiving and signing for incoming packages, Sending and Receiving Faxes, Arrange conference calls, Prepare Shipping for International and Domestic priority packages. --Receive and sort mail and packages. -- Provide other administrative support such as ordering supplies, filing, arranging conference calls, arranging/maintaining conference room usage, preparing International and Domestic packages for shipment, --Maintain fax and copy machines, calling in orders for service as needed, and prepare orders for office supplies.
Qualifications:
Education: High school diploma or general education degree (GED). Achievement of an Associate of Arts degree or equivalent from two year college or technical school is preferred. Experience:A minimum of one year experience working in administrative support required. Experience working in a medical environment or with scientific staff very helpful. MUST TYPE 70 WMP
An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
